The Project Coordinator – Facilities oversees facility-related projects from inception to completion. The ideal candidate will be responsible for planning, executing, and finalizing projects according to strict deadlines and within budget. This role requires a strategic thinker who can manage resources, coordinate with various stakeholders, and ensure all projects align with the organization’s overall goals. The Project Coordinator will lead facility upgrades, maintenance projects, and new construction initiatives, ensuring safety, compliance, and efficiency throughout the project lifecycle. 

RESPONSIBILITIES:

Project Planning and Management: 

  • Develop detailed project plans, including scope, timeline, budget, and resource allocation. 
  • Coordinate with internal teams and external contractors to define project requirements and deliverables. 
  • Ensure projects are completed on time, within scope, and within budget. 
  • Collaborate with the administrative facilities coordinator and office level administrative assistants on small projects and office level maintenance.  

 Stakeholder Coordination: 

  • Serve as the primary point of contact for project stakeholders, providing regular updates and addressing any concerns. 
  • Facilitate communication between all parties, including contractors, vendors, and internal departments. 

 Budget Management: 

  • Assist in preparing the annual facilities budget, project budget compliance, expense tracking, and ensure financial objectives are met. 
  • Identify cost-saving opportunities without compromising quality or safety. 

Risk Management: 

  • Identify potential project risks, develop mitigation strategies and communicate to stakeholders. 
  • Proactively address challenges and obstacles to keep projects on track. 

Documentation and Reporting: 

  • Maintain comprehensive project documentation, including contracts, and progress reports. 
  • Prepare detailed project reports and presentations for senior management 
  • Manage contract and relationship with vendors 
  • Create project documentation and training materials 

 Other: 

  • Take on additional tasks/projects as needed 
  • Travel will be required for this role 

REQUIREMENTS:

  • BA/BS degree required. 
  • Proven working experience coordinating technical and non-technical projects in a fast paced, high-profile environment 
  • Project management experience 
  • Strong organizational skills and ability to manage multiple projects 
  • Ability to think analytically and solve complex problems 
  • Ability to communicate clearly and effectively  
  • Ability to work in a fast-paced environment and be a self-starter 
  • Strong working knowledge of Microsoft Office 
  • Strong working knowledge of project management software
