Matthews is looking for a highly motivated and ambitious individual to join us as a Property Manager specific to Multifamily properties. This is an opportunity to assist in expanding a business unit for Matthews.

The Property Manager-Multifamily is responsible for the daily operations of Matthews managed assets including overseeing and enhancing the value of each property. The Property Manager-Multifamily must effectively manage and coordinate persons, activities, and available resources to accomplish objectives as set forth by the National Director, Asset Services and property owner.


Conduct all business in accordance with Matthews policies and procedures. Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and State laws.


  • Post all vacant units to property management software and other third-party web sites
  • Respond effectively to telephone inquiries to generate prospective resident visits to the property
  • Show and demonstrate apartments, utilizing sales skills to demonstrate the market ready product and availability to close prospects
  • Follow-up with prospective residents
  • Monitor telephone and walk-in traffic at property via guest cards
  • Obtain lease information and complete lease applications. Conduct required credit and reference checks. Set up and maintain lease files.
  • Conduct market surveys monthly and provide trend report information. Shop competition and be aware of neighborhood market conditions
  • Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.

Lease Administration

  • Perform move-in inspections with new residents
  • Review Welcome packet with new resident in a timely manner
  • Maintain legal records/files
  • Ensures that lease files are complete and that completion of leases is being executed properly
  • Maintains records on all aspects of management activity on a daily, weekly, and monthly basis
  • Submits required reports to the National Director, Asset Services on a weekly and monthly basis


  • In conjunction with the National Director, Asset Services and Director, Asset Services, the Property Manager-Multifamily will assist in formulation of budgets for each upcoming calendar year. The Property Manager-Multifamily is responsible for staying within the established budget guidelines throughout the year
  • Actively maintain and report monthly variances and narratives
  • Ensures that all rents are collected when due, and posted in a timely manner in the property management software. Makes sure that all bank deposits are made immediately.
  • Help to prepare legal action and evictions, utility cut-offs and landlord liens as required on delinquent rents
  • Constant vendor/contractor communication concerning work scheduling, billings, vendor relations and certificates of insurance. The Property Manager-Multifamily is responsible for approving and submitting all invoices to National Director, Asset Services for payment as well as entering them in the property management software


  • Reports all liability and community incidents to the corporate office immediately
  • Property Manager-Multifamily will complete any pertinent safety checklists with maintenance staff

Tenant Relations

  • Maintain a positive customer service attitude
  • Prepare and process resident service requests
  • Periodic inspection with residents move-in/move-outs
  • Review all notices to vacate to determine the cause of the move-out
  • Assist with resident problems and complaints concerning rent payments, service requests, etc.
  • Initiate and implement policies/procedures to maintain resident and tenant communications; e.g., complaints, service requests, etc.


  • Physically walk and inspect Matthews managed assets on a regular basis
  • Coordinates with maintenance and make-ready staff to ensure timely condition of apartments after move-out
  • Work closely with maintenance personnel to monitor and schedule all maintenance activity


Minimum Requirements:

  • Bachelor’s degree (BA/BS) from four-year college in relevant field (Ex: Business, Finance, Real Estate)
  • Must have 2-5 years of multifamily or commercial real estate management experience
  • Must have valid driver’s license and automobile insurance
  • Previous experience using Appfolio Property Manager or other types of property management software
  • Working knowledge of the community leasing process, lease abstracting, lease agreements, and financial terms
  • Strong business development, marketing, negotiation, and communication skills
  • Acute knowledge of the regional and local markets
  • Must be proficient in using Microsoft Word, Excel, and Outlook

Preferred Requirements:

  • Ability to speak and write fluently in Spanish preferred
  • Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information
  • Ability to comprehend, analyze, and interpret complex documents.
  • Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills
  • Strong interpersonal and organizational skills with ability to manage multiple projects simultaneously
  • Decision-making capability with thorough understanding of procedures, company policies, and business practices to achieve general results and client-drive expectations and deadlines
  • Familiarity with Salesforce (or other CRM)

Additional Requirements:

  • Physical ability to walk the property, including but not limited to: walking up multiple levels of stairs, to complete physical inspections, deliver resident communications, and show apartments
  • Must be able to lift a minimum of 60 lbs. to facilitate minor repairs, vacuuming, moving office furniture & lifting of supplies as needed
  • 20% to 25% of work will be utilized in using personal transportation to inspect Matthews managed assets as needed
