The Senior Transaction Coordinator supports the transaction management team by spearheading efforts to ensure seamless document compliance, analyzing data, and collaborating cross-functionally to sustain an efficient sales process. This role will be responsible for ensuring all policies and procedures for Matthews REIS offices, state and local real estate licensing rules/regulations are adhered to. Incredible attention to detail and deadlines are essential to the success of this role. Key Responsibilities:

  • Coordinate with Brokers of Record and Real Estate Commissions in each state at various points of the transaction process to ensure the proper treatment of due diligence documents
  • A knack for multi-tasking anything from phone calls to emails to tracking progress across multiple internal and external points of contact
  • Draft purchase and sale agreements, amend contracts, and author commission instruction letters for payment of commission to escrow agents
  • Develop critical dates timelines
  • Process weekly commissions, work with Accounting team ensuring appropriate repayments are processed
  • Manage the Broker of Record and Cooperating Brokerage Relationship databases
  • Guarantee that all federal and local state laws are adhered to as it pertains to all listings, under contracts, and closings held by all MREIS office locations throughout the US
  • Work closely with Matthews REIS legal counsel to produce needed agreements and disclosures
  • Create, update, and distribute protocols, procedures, agreements, and disclosures as laws change in each state
  • Act as a steward of the quality and completion of due diligence documents
  • Monitor and maintain the adherence to and compliance with state laws nationwide
  • Maintain relationships and effectively coordinate with multiple points of contact, both internal and external
  • Train and mentor Transaction Coordinator position
  • Take-on special projects as needed


  • Bachelor’s Degree in Business or related field
  • 2-4 years of relevant experience
  • Customer service focused
  • Comfortable with concepts of intermediate math
  • Highly organized and attentive to detail
  • Passionate about using data as a tool for promoting and monitoring business growth
  • Strong interpersonal skills and able to convey complex principles through written and spoken correspondence
  • Ability to read and interpret documents including real estate contracts, leases, and settlement statements
  • Highly adaptable and a clear-thinking problem solver
  • A self-starter on individual projects and a contributing member on team projects
  • Experience in Microsoft Office with emphasis on Excel
  • Familiarity with Salesforce (or other CRM), and AIR Forms a plus
